Ticketing Information

If you choose to use our ticketing system for your event here is the information you will need to know in order to use these features.

Ticketing is a premium feature and available only on the Premium Ticketed Event package. Event ticketing payouts to the event owner are generally made via a PayPal account.

In order to use and manage the ticketing features you should create an event using the link in the top Menu bar.

Select Premium Ticketed Event and enter the details for your event.

When you Submit the listing you will be redirected to the payment page. Once paid you will be sent an invoice and a link to your event via email (check your spam folder if you do not see it). Note: If you use Internet Banking to pay your invoice you will not be able to access the event ticketing until your payment has been verified in our account (allow 1 business day for this)

In order to set up your ticketing you should now follow the link to your event in the email you received and log into the site using the same account you created the event with.

In the right hand sidebar of your event listing you will see a link for Sell Tickets. If you click that link a window will pop up allowing you to create various types of tickets.

Note: Ticket prices are all GST INCLUSIVE. You should price your tickets including GST. We pay out the selling price including GST (less commission) to the event owner. You are responsible for your own tax reporting and payment. We charge a flat fee of 8.5% on all ticket sales. This includes our commission and all credit card processing fees

You can create several types of tickets for your event.

For example: If you want to offer a limited number of Early Bird tickets and another ticket type with a different price for (e.g.) Regular tickets as well as Late Issue tickets you can create one ticket type called “Early Bird”, another for “Regular tickets” and another for “Late Issue”

For pre-sales you should select “Sell tickets till the event starts”

For last minute sales you could select “Sell tickets till the event ends”

Enter the first type of ticket in the page and then Click Save Tickets.

Once you have created your first type of ticket you will be returned to the event page. The Sell Tickets button will change to Buy Tickets and an additional button for Ticket Management will appear. (The Ticket Management link is only visible to the event owner when logged in with the same account that created the event)

To add additional types of tickets Click the Ticket Management button and a window similar to the below will open. Click the “Add Another Ticket” button to add additional ticket types and quantities. Remember ticket pricing includes GST and for last minute tickets you may prefer to select “Sell tickets till event ends)

Once you have added all your ticket types your ticketing set-up is complete.

You can now publish the link to the event to your normal marketing channels. (get the direct link to the event from the address bar in your browser. This will take your customers straight to the event page without having to search for it.)

TICKET MANAGEMENT

The event owner can return to Ticket Management at any time (The Ticket Management button is only visible to the event owner and only when logged into the site using the account the event was created under)

For your own information the event owner will be emailed on each ticket sale to the email address for the user who created the event.

For a summary of sales you can return to the event link and Click the Ticket Management button. Select the Sales tab to view your current ticket sales. This tab displays all tickets sold along with the fees charged. At the right are buttons to Resend tickets to the purchaser and to Refund the tickets. Hovering over these buttons displays their function.

For a report of all tickets sold Click the Report tab. This tab provides details on quantity of each ticket type sold along with a summary of your earnings and fees charged.

TICKET SCANNING

Our ticket scanning function has been tested on current versions of Firefox, Edge and Chrome browser. Other browsers may work but we do not offer any support for these.

When your event starts you can use a mobile device with internet access to scan and verify tickets. To scan tickets return to the event link and log in as the event owner. Click the Ticket Management button and then select the Scanner tab

You should Click the Request camera permission and select the back (rear) camera when prompted.

Now Click Start Scanning

The Scanner window should now show

You can now scan a ticket QR code. When you scan the QR code the system will check to see if the ticket is valid (and has not been used before). If the ticket is valid a green bar with Valid will display on the scanner.

If the ticket is valid a “Redeem Ticket” button will appear.

It is important that the Redeem Ticket button is then Clicked on the mobile device. This records the ticket as having been presented and “used”, preventing anyone with another copy of the ticket from being able to present it for admission. (Important: Failing to click Redeem Ticket button will result in the ticket still showing as valid if another copy is presented again.)

Once the Redeem Ticket button has been Clicked, if the same QR code is presented again the ticket will now show as “This ticket was used” along with how long ago it was used. If this occurs the holder should not be admitted.

TICKETING PAYOUTS

In order to receive your ticket revenue (less commission) you should log into the site using the same account that created the event. Then Click the Profile link in the top menu to take you to your user profile.

Your wallet will display showing a list of the transactions on your account. The list will show each ticket sale and the amount of commission for each sale. (This is also available on the Report tab from the Ticket Management button on the event page)

To withdraw some of all of your funds (up to the maximum amount shown in your Balance) enter the amount and your PayPal address. Then Click the Withdraw button.

Your withdrawal will then be approved by the site admin, processed and sent to the PayPal account entered on the withdrawal form. (Please note: if you prefer your payout to be send to your bank account please email siteadmin[at]rainbowconnect.nz immediately after the withdrawal request and indicate your preference). Additional verification may apply for bank withdrawals, however the advantage is avoiding any PayPal fees you may incur.
